From Vision to Reality: Your Design Journey with PbyP

Our process has evolved over the years to ensure clarity, creativity, and confidence at every stage of your project. Here’s what your journey with us will look like.

A Quick Glimpse Before You Hire Us

Before you decide to work with us, we love connecting to understand your vision and needs. Typically, this begins with a brief discovery call, followed by a consultation where we dive into your style, lifestyle, and project goals. From there, we create a tailored proposal that outlines the scope of work and fees. Once everything aligns with your vision and the proposal is signed, the design journey officially begins!

Phase 1: Laying the Foundation

Measurements:

Once you’re onboard, we start by gathering precise measurements of your space. This ensures that every detail—down to the millimeter—is captured accurately. We also take “before” photos and videos to document your space before the transformation begins. After our measurements team scans your space and receives our design documentation (which can take a few months), they will create 3D renderings that we will share with you further in the design process! Design Direction:

Next to take place is our design direction presentation. This exciting 2-2.5-hour meeting is where your vision starts to take shape. We won’t be making concrete selections, but we will be making design directional choices. For example, if we are remodeling your kitchen, some things we are deciding on are whether you want drawers or cabinets, or if you want a tile backsplash versus the countertop extending up the wall. We’ll review mood boards, discuss budgets, and schedule future milestones, such as the Design Presentation meeting and when we’d ideally like to start construction and/or install furnishings. By the end of this step, we’ll have a clear creative direction for your project and can begin the selection process.

Phase 2: Designing Your Dream

Design Presentation 1: Selections and Options

Between the Design Direction Meeting and your first presentation, our team works diligently to translate your vision into tangible options. This could take around 2-4 weeks depending on the size of your project and both of our schedules. During the first Design Presentation, we present 2–3 thoughtfully curated concepts that include lay-outs, materials, furnishings, fixtures, and finishes. This is where the tactile experience begins—touching fabrics and tiles, feeling the textures, and seeing how the pieces interact. Together, we refine these concepts and finalize the selections that bring your dream space to life.

Design Presentation 2: Bringing It to Life in 3D

The second Design Presentation is all about visualization. Our measurements team creates detailed 3D renderings of your space, so you can see your selections in context. Sometimes seeing a collection of samples can feel disjointed, and that’s where the renderings make a difference—they allow you to experience the flow, scale, and feel of your design before construction begins. This confirmation step ensures everyone is aligned and excited about the final vision.

Phase 3: Execution and Coordination

With selections finalized, we create detailed construction documents for contractors, including plans, elevations, and specifications. Using these documents, we gather bids from trusted professionals, review costs and timelines with you, and help select the contractor who best suits your project. We will also provide you with our invoice of all materials, fixtures, and furnishings selected from our last meeting so you can see the overall cost of your project with real numbers.

Once a contractor is selected, a construction schedule will be put together. This schedule is subject to change, and based on our experience, will most definitely change. Construction is not an exact science, and flexibility from all parties needs to be a priority. At the same time a schedule is being put together, we handle procurement: purchasing all materials, furnishings, and fixtures you selected, inspecting items upon arrival, and managing storage until installation day.

During construction, we remain hands-on—coordinating deliveries, visiting the site, and troubleshooting any challenges. Every milestone, from plumbing to tiling, is closely monitored to ensure the finished space aligns perfectly with the design plan.

Phase 4: The Big Reveal and Beyond

Finally, it’s time for the transformation! For any construction, we will perform a final walk-through to ensure no detail was missed, and if there are any, a punch-list will be created for the contractor to complete. Once the punch-list is resolved, we oversee the delivery and placement of all furnishings, décor, and accessories, making sure every piece is placed to our exact lay-out and measurements. To celebrate, we schedule a professional photoshoot, compile a comprehensive project binder with all documents, warranties, maintenance information, and samples, and provide a personalized thank-you gift for trusting us with your home.
